How-To Guides

Practical, step-by-step walkthroughs for the most common day-to-day tasks.

Create a sales invoice

  1. 1

    Open Sales → Invoices

From the sidebar, expand Sales and click Invoices, then New Invoice.
  2. 2

    Pick the customer

Select an existing customer or create one inline. Their GSTIN and place of supply drive the tax treatment.
  3. 3

    Add line items

Choose items, quantities and rates. CGST/SGST (intrastate) or IGST (interstate) is calculated automatically per line.
  4. 4

    Review totals & save

Check taxable value, tax and grand total, then save. The invoice posts a balanced double-entry journal.
  5. 5

    Send / e-invoice

Generate the IRN and e-way bill if applicable, then email the invoice to the customer.
Use the quick-create + shortcut that appears on the sidebar item to jump straight to a new invoice.

Record a vendor bill

  1. 1

    Open Purchases → Bills

Expand Purchases and click Bills → New Bill.
  2. 2

    Select the vendor and date

Enter the vendor, bill number, bill date and due date.
  3. 3

    Capture lines & tax

Add purchased items/services with rates and GST. Input tax credit is tracked automatically.
  4. 4

    Save & post

Saving posts the purchase journal and increases the vendor's outstanding balance.
  5. 5

    Manage from the list

Each row in Bills has an Actions column — View, Edit (drafts only), Delete/Void, plus Post to Ledger and Record Payment. Filter by status, vendor, date range or amount range.

Editing bills

Only draft bills can be edited (vendor, dates, lines, tax). Once posted, a bill must be voided & reversed rather than edited, to keep the ledger audit-clean.

Faster with AI

Drop a PDF bill into Smart Capture and the AP agent extracts the vendor, lines and tax for you to approve.

Receive a customer payment

  1. 1

    Open Sales → Payments Received

    Click New Payment.
  2. 2

    Choose customer & invoice

Allocate the amount to one or more open invoices, or record an advance.
  3. 3

    Set mode & date

Pick the payment mode (cash, bank_transfer, upi, cheque, card) and date.
  4. 4

    Save

The invoice balance updates and a receipt journal is posted.

Make a vendor payment

  1. 1

    Open Purchases → Payments Made

    Click New Payment.
  2. 2

    Pick vendor & bill

    Allocate against open bills.
  3. 3

    Confirm bank account & save

The bill balance reduces and a payment journal is posted.

Post a manual journal

  1. 1

    Open Accountant → Manual Journals

    Click New Journal Entry.
  2. 2

    Add debit & credit lines

Pick ledgers and amounts. The entry must balance — total debit equals total credit.
  3. 3

    Add narration & save

Saved entries appear in the Manual Journal Register report.
A journal will not save until Debit = Credit. The footer shows the running difference.

Reconcile a bank account

  1. 1

    Open Banking → Bank Accounts

Select the account and import or sync transactions.
  2. 2

    Run Smart Recon

Open Banking → Smart Recon. The AI engine suggests matches between bank lines and ledger entries.
  3. 3

    Approve matches

Accept suggested matches or adjust manually, then mark the statement reconciled.

Run and export a report

  1. 1

    Open Reports → All Reports

Browse by category or search by name.
  2. 2

    Set the period

Pick the date range or as-of date. Financial reports default to the current study fiscal year.
  3. 3

    Export

Use Export CSV to download, or print to PDF from your browser.
  • Most reports support search, sortable columns and a running total footer.
  • Receivables/payables and ageing reconcile to Tally and your Excel study.
